Can I change markup percentages in the settings on a project?
Yes, you are able to adjust the markup percentages as long as you do NOT have any of the following within a project:
- An approved estimate
- An approved change order
- At least one expense
You'll notice that the markup % fields are disabled when you have any of the above.
The reason why we have these conditions in place is to ensure that we don’t spoil the financial data within Buildwise.
If you’ve started a project, and you have either of the three things listed above, then you have two options for how to rectify this:
Option One: No expenses in the project
If you have no expenses in the system, use this approach.
- Create a new project with a similar name to the existing project.
- Populate all of the settings including the markup percentages.
- Copy the estimate and any change orders into this project. Here's an article on how to copy from another project. (it's the same process for a change order as well).
- As there are no expenses, no other action is needed.
- Once you've successfully copied the estimate + change orders within the new project, you can then delete the old project.
Option Two: You have expenses in the project
If you have expenses in the system, then the approach is a tiny bit more complex.
- Create a new project with a similar name to the existing project.
- Populate all of the settings including the markup percentages.
- Copy the estimate and any change orders into this project. Here's an article on how to copy from another project. (it's the same process for a change order as well).
- For the expenses, you’ll want to navigate to the expenses tab within the existing project, and export them by clicking the “Export to CSV” button on the lower left side of your screen.
- Keep in mind that when exporting, none of the file attachments are connected to the CSV file so make sure to also click the “Download Receipts” button which will download all receipts and trade partner invoices into one PDF.
- Once you've successfully copied the estimate + change orders within the new project, and you’ve exported the expense transactions and receipts/invoices, you can then delete the old project.
- In order to get the expenses into the system you can send us the file by emailing: hello@buildwiseapp.com. When doing so, please make sure to specify which project these should be uploaded into. We will notify you once we’ve uploaded them.
- The last step will be to manually upload each receipt/invoice to each expense transaction. Currently we do not have a bulk method for this so it will be a manual process.
