Can I make changes to an estimate after it’s been approved?
In Buildwise, we lock estimates from changing status or edits after you have it either Manually or Client-Approved.
This ensures the system knows which estimate to use as the baseline cost for all reports.
If you have a Manual or Client-Approved estimate but do not have any expenses in the project, then you can revert this estimate to draft status to make your changes.
Keep in mind you will have to re-submit it to your client for approval or manually approve it again.
If you have project expenses entered, reverting this is a bit trickier.
Option 1
- Export the transactions to CSV from the expenses tab within the project.
- Then delete them in Buildwise (Note: we do not have a bulk delete option).
- This will allow you to reset the Estimate status, and make the changes required.
- You'll then need to upload the expenses which can be done manually or you can send to us to bulk upload from the CSV file. Simply send us an email to hello@buildwiseapp.com along with the file, and be sure to specify the EXACT project name you would like these expenses uploaded to.
This approach works well when the estimate has only minor changes and you are not concerned about saving the first version.
Option 2
- Download the expenses from the current project to CSV.
- Create a new project and copy the estimate (Please see this article for how to 'copy from').
- Once you’ve done this, you can enter the expenses for this project into the Expenses tab from the downloaded CSV file or share them with us, as mentioned above.
- You can then delete the first project and use the new one, including making changes to the estimate and re-sending it to your client.
Option 3
If the changes you make to the estimate mostly increase the scope of work, you can use our Change Order feature to change the estimated project costs.
This includes using negative values for the scope of work changes, which will effectively help you manage the changes to the estimate required.
